GoHighLevel Developer: Building a Custom Call Center Platform for a Life Insurance Agency

GoHighLevel Developer: Building a Custom Call Center Platform for a Life Insurance Agency
When a life insurance agency depends on a high-volume call operation, generic call-center software can become a limitation. The team may need real-time agent availability, intelligent call routing, recordings, expense tracking, and direct CRM synchronization—all working together around an existing sales process.
This case study shows how we approached that problem by building a custom cloud-based call center platform for a life insurance agency and integrating it with GoHighLevel.
The Challenge
The agency wanted to replace its Ringy subscription without disrupting its existing lead distribution workflow.
Instead of adapting the business to another off-the-shelf system, the goal was to build a platform around the agency's actual operation.
The system needed to manage:
- Live agent availability
- Intelligent inbound call routing
- Call handling and recordings
- Call expense tracking
- Agent activity
- Reporting and operational visibility
- GoHighLevel CRM updates
The result needed to function as a central operational system rather than another disconnected tool.
The Solution: Custom GoHighLevel Development
We designed and developed a full-stack web application from the ground up.
The platform connects the call-center operation with the agency's CRM workflow, using Twilio for call handling and the GoHighLevel API for CRM synchronization.
At a high level, the workflow connects the major pieces of the operation:
Inbound call → agent availability → call routing → agent → recording → GoHighLevel workflow
This gave the agency a system designed around its own business processes.
Real-Time Agent Availability
A central requirement was knowing which agents were available to take calls.
The custom platform provides live agent availability management so administrators can see the current state of the call center and use that information for routing decisions.
The application was designed to process thousands of real-time availability requests, making real-time state a core part of the architecture rather than an afterthought.
Intelligent Call Routing with Twilio
The platform uses Twilio for automatic call handling while the application provides the business logic around agent availability and routing.
This allows incoming calls to be handled according to the agency's operational requirements instead of relying solely on the behavior of a generic call-center product.
GoHighLevel CRM Integration
GoHighLevel was already part of the agency's workflow, so replacing the call platform without maintaining the CRM connection would have created another operational problem.
The application integrates with the GoHighLevel API and provides one-click dispatch of completed calls into GoHighLevel pipelines.
This connects call activity with the CRM and reduces the need to manually move information between systems.
Call Recordings, Expenses, and Reporting
The platform also centralizes call recordings and call expenses alongside agent and call activity.
Instead of managing these pieces across separate systems, administrators have a single application for monitoring the operation and accessing relevant information.
Technology Stack
The platform was built using:
- Next.js
- Node.js
- PostgreSQL
- Twilio
- GoHighLevel API
- Ringba
- Retrever
- Vercel
- Upstash Redis
Vercel provides the deployment environment, PostgreSQL handles application data, and Upstash Redis was used for rate limiting high-volume webhook endpoints.
Built for High-Volume Insurance Operations
The platform was designed specifically for high-volume insurance call-center operations.
Rate limiting was implemented with Upstash Redis to protect webhook endpoints from abuse, while the application architecture was designed to handle thousands of real-time availability requests.
The result is a custom system that brings together communications, agent management, reporting, and CRM synchronization in one application.
The Result
The completed platform successfully replaced the agency's Ringy subscription with a custom solution built around its business processes.
The agency gained greater control over call routing, agent management, recordings, reporting, and GoHighLevel updates while maintaining its existing lead distribution workflow.
Need a GoHighLevel Developer for a Custom Integration?
If your GoHighLevel setup needs to communicate with a custom application, call system, database, webhook workflow, or external API, an off-the-shelf integration may not be enough.
We build custom GoHighLevel applications and integrations around specific business requirements—from API integrations and webhooks to larger operational platforms.
